Part Two: How to Protect Sensitive Info in The Document?
In this section, we discuss different methods for protecting your document based on your use case scenario.
Add Open Password
Open password is a method that allows users to open documents that have the password while anyone else cannot access them. The open password from UPDF comes with five security layers.
The first two are encryption ciphers such as RC4 and AES, while the other three are encryption levels such as 128-bit AES, 128-bit RC4, and 256-bit AES. With these layers, it is very difficult for unauthorized individuals to open your documents.
To apply a password, find the 'Encrypt' option and add the password to the files. Choose the encryption method, and you are done.
Add Permission Password
The 2nd type of password protection is a Permission Password, where users can access the document but cannot make changes, among other things, such as:
- Copying or editing your PDF
- Cannot print the document or allow print but limit the output quality
- Cannot change the pages or their order
- Unable to comment, fill or sign the document
This permission helps keep your contractual and other agreements secure. You can use the same route as adding an open password, but just choose 'Permission Password.' The rest of the process is the same.
Redact Sensitive Information
This protection method allows users to hide certain information in the document while sharing the complete document, even just for reference. With this feature, you can redact text, whole pages, images in the document, and more.
You can redact individual words by selecting text or an area, redact one or multiple pages, or find text and redact them all with one click. Finally, you can also purge the meta data and other information from the PDF info section using UPDF.
Choose the 'Redact' menu on the left panel and choose one of the options shown there, such as 'Properties,' 'Mark for Redaction' 'Redact Pages,' and ‘Find Text & Redact’. After redacting the content, you can save the document by clicking on ‘Apply’.
Watermarking Your Document
Adding watermark to your documents can protect your copyright, reinforce your brand identity and visibility. Also, it can indicate the sensitivity of the info within the document. UPDF provides different watermark templates which gives you full flexibility to design your own watermark such as the size, opacity, orientation and tiled options.
To add a watermark, go to the 'Watermark' tool from the 'Page Tools' menu on the left side. Start by adding a new watermark using the 'Add' button. Change its parameters, and click' done' to save the watermark.
Secure your Files in Private Space
UPDF allows you to hide certain important files in secure folders on your iPhone or iPad. You can add a password so others cannot access your document such as photos, Word files, PDFs, videos, etc. even if they have access to your phone. These security spaces can only be opened with a password, face or touch ID, etc.
In order to hide or secure files on your iOS devices, please open a ‘Security Space’ from the UPDF Settings. Create a folder in this space. Once you add any file in this folder, no one can see which documents are there unless they have a password.
You can use the ‘+’ button in the right corner to add more files there or use the import button to include other files through the import feature.
