To make the most out of the AI calendar, make sure to customize your settings. When setting up your account, you can set your preferred work hours, which Motion will do its best to respect by avoiding scheduling events before or after your designated schedule.

I also like how Motion AI will alert you if you’re unable to meet some deadlines based on your current workload.

AI project manager

Motion AI’s project manager is reminiscent of other popular management apps like Trello and Asana. You can view all your calendar tasks in your project management dashboard, and you can configure each task’s status, assignees, priority, deadline, duration, and more.

Using this dashboard, you can view your tasks as a list, Gantt chart, or Kanban board, and group them based on project, priority, assignee, and other factors.

Note that you can’t integrate Motion AI with other project management platforms, so it’s best used as your primary project management tool.

Booking link

You can create a booking link for external meetings and let Motion AI automatically find a schedule for you within your designated work hours. Motion also allows you to set a buffer period to prevent back-to-back meetings.

Make sure to specify where the meeting will take place (such as Google Meet or Zoom), as well as customize your booking link so it’s easy to remember.

Having a booking link makes it easy to schedule meetings with clients, vendors, or contractors even if they’re not on Motion. When they click on your booking link, they’ll find a simple interface, where they’ll be able to view your availability.

AI meeting notetaker

Motion AI: user experience

Overall, the interface for Motion AI is clean and easy to navigate. When you first log into your Motion AI account, you’ll find the Agenda page, which features all your tasks. From there, you can navigate to the Calendar tab or the Projects & Tasks tab to see your tasks and events in various formats.

Task and event creation is easy and straightforward, with little to no learning curve. You simply enter their details and watch them pop up on your schedule.

Management, on the other hand, can be a little tricky. For example, I had a recurring task for “Lunch” on weekdays from 11 AM to 12 PM. When I then tried to schedule a task from 9:45 AM to 11 AM, the “Lunch” task would display an error saying I won’t be able to complete it in time even though there’s no overlap in schedule.

I was only able to resolve this error by manually editing my task to end at 10:45 AM instead of 11 AM.

Of course, this was just one error among days of testing. Other users also have positive feedback for Motion AI, with many enjoying its automatic event scheduling and project management.

Any negative comments about Motion have to do with its pricing. Many users, especially individuals, seem to find that its price is too steep and its 7-day free trial too short to really get a feel of its features.

Getting started with Motion is simple. After signing up, you connect your calendars and import your tasks, after which Motion automatically builds your personalized schedule.

Motion also has onboarding video tutorials that walk you through the basics, though using it is fairly intuitive as it has a similar interface as other calendar apps.

Motion’s customization options should also be familiar. From the Calendar page, you can choose to view your schedule by week or day, depending on the level of detail you want. You can also choose to start the calendar on either Sunday or Monday.

Your Projects & Tasks tab has even more options for customization. You can create a dashboard, which will show you an overview of how many tasks you have for the week and what your progress looks like.

You can also view your tasks in a list, Kanban board, or Gantt chart. Tasks can be grouped and sorted by priority, status, assignee, project, deadline, and more.

How to get started with Motion AI

To get started on Motion AI, follow the steps below:

1. Sign up for an account by going to the Motion AI website and clicking “Try Motion for free.”
2. Choose how many team members you plan on using Motion with.
3. Choose a plan and subscription duration. At this stage, you can choose the 7-day free trial.
4. Enter your credit card details and confirm.
5. Connect your calendars to Motion. You can connect your Google, Outlook, or iCloud calendars.
6. Select your main calendar, where Motion will default to when creating events.
7. Set your desired work hours. Motion will avoid scheduling tasks and events outside of the schedule you set.
8. Optionally, allow Motion to set recurring tasks, such as lunch, meditation, or exercise.
9. Next, enter at least five tasks, which Motion will automatically schedule for you after you click “Next.”
